Volunteer Job Description

Position: Clerical
This Volunteer supports the general office functions of: Clerical Support, Receptionist, Word Processor, or Data Entry.

Description:
This position supports the Division of Criminal Justice Services Staff by being responsible for office functions at various Division of Criminal Justice Services Offices. Once trained the Volunteer works independently under the general direction of a professional DCJS staff member.

Duties/Responsibilities:
Duties will vary depending on the skills and interest of the volunteer and the needs of each office. Listed below are some but not all of the duties, which you might be asked to perform:

· Answering the phone and directing calls to appropriate staff members using the division's multi-line telephone system

· Taking messages for staff

· Answering routine information requests by our clients or the public

· Operate a computer using Windows 95 and Word Perfect

· Copy, sort, collate, file and/or distribute materials, including mail

· Maintain routine records, including computerized records

· Sort and distribute incoming and outgoing mail

· Perform other routine duties as required

Requirements:
· Assist the division at least once a week for four (4) consecutive hours. The four-hour period can be anytime between 8:30 a.m. and 7:00 p.m. on Monday, and between 8:30 a.m. and 5:30 p.m. Tuesday through Friday.

· Familiarity with computers especially Windows 95/98 and a Word Processor or a Spreadsheet is very helpful, but not absolutely necessary.

· Ability to maintain confidential Court and Probation information

· Ability to work independently within policy and procedures

· Ability to communicate verbally and in writing
